Using the Prompts & Assistants Libraries

How to find, use, and manage saved prompts and assistants in the libraries.

Written by Amber Wartenberg

The Prompts & Assistants Libraries provide a centralized location for discovering, organizing, and managing reusable AI resources across Procurement Sciences.

Whether you're looking for a proven prompt, a specialized assistant, or creating your own resources, the libraries make it easy to find and access the tools you need.

Accessing the Libraries

From the Libraries section, users can browse available prompts and assistants across the organization.

Resources can be organized by category and filtered to help users quickly locate relevant content.

Browsing Resources

The libraries support multiple ways to discover content:

  • Browse by category

  • Search by keyword

  • Filter results to narrow your view

  • View resource details before use

  • Favorite frequently used resources for quick access

Categories help group related prompts and assistants by business function, making it easier to locate resources for specific workflows.

Examples include:

  • Business Development

  • Proposal Writing

  • Capture

  • Marketing

  • Recruitment & HR

  • Delivery & PMO

  • Strategic Planning

  • Opportunity & Risk

  • Utilities

  • Learning & Tips

  • Personas (moved to Assistant Library)

  • Quick Edits (moved to Prompt Library)

It’s important to note that existing private and shared prompts and assistants will automatically show in the "uncategorized" category.

Managing Visibility

Resources may be available in different visibility groups depending on permissions and sharing settings.

While all users can edit categories for their private resources, only Admins and Super Admins can assign categories and create and edit shared prompts and assistants.

Private

Resources that are only visible to you.

Shared

Resources that have been shared with other users or teams.

Global

Resources that are available across the organization.

These visibility options help teams collaborate while maintaining control over who can access specific resources.

Using Tags and Categories

Tags and categories help organize resources and improve discoverability.

When creating or editing prompts and assistants, users can assign:

  • Categories

  • Tags

  • Names and descriptions

Using consistent tagging and categorization makes it easier for other users to find and reuse resources.

Creating New Resources

Users can create new prompts and assistants directly from the libraries.

When creating a resource, you can:

  1. Enter a name and description.

  2. Assign a category.

  3. Add relevant tags.

  4. Configure visibility and sharing settings.

  5. Save the resource to the appropriate library.

Once saved, resources can be managed and updated as business needs evolve.

Favorites

Frequently used assistants can be added to Favorites for faster access.

Using Favorites helps users quickly launch commonly used resources without searching through the full library.

Best Practices

To keep libraries organized and useful:

  • Use clear, descriptive names.

  • Assign appropriate categories.

  • Add meaningful tags.

  • Keep descriptions concise and informative.

  • Share resources when they can benefit other teams.
