Bring Awarded AI right into Microsoft Word. Ask questions about your draft, rewrite or create new text, and get reviewer-style feedback without leaving your document. The add-in is included with your Awarded AI subscription at no extra cost.
This guide covers quick setup, how the add-in works, which mode to pick, best practices, prompts to try, and how to move AI Chat content into Word. For full setup steps, every panel feature and the security overview, see The Procurement Sciences Add-in for Microsoft Word.
1. How it works
The big idea: The add-in works on the text you highlight, uses your knowledge base, and never changes your document without your approval.
It works on what you highlight. Highlight text before you send a request, and the assistant focuses on that text.
It uses your knowledge base. Your default knowledge configuration is on automatically. Click + in the chat box to see which one is active, switch configurations, or turn knowledge off.
You can attach files. You can attach "My Files" or "Shared Files" you or your team have previously uploaded to Awarded AI's Datahub, such as the solicitation, a compliance matrix, or your full draft.
You stay in control. Edits show up as Word tracked changes, and feedback shows up as standard Word comments. Nothing changes until you accept it.
For more on setting up knowledge configurations, see Building Your Knowledge Base in Awarded AI.
2. Pick a mode
Choose a mode from the mode selector in the chat panel, or leave it on Auto.
Mode | Best for | Edits your document? |
Auto (recommended) | Quick or open-ended requests. It picks the mode for you. | Only if your request calls for it |
Ask | Questions, explanations, and analysis | No |
Write | Drafting, rewriting, and editing | Yes, as tracked changes |
Comment | Reviewer-style feedback on specific text | Comments only |
Not sure which to use? Start with Auto. Use Ask when you need to be sure nothing in your document changes.
3. Best practice recommendations
Work one section at a time. Highlight one section, get it right, then move on.
Add context. Attach the solicitation, compliance matrix, or proof points, and your full draft when the request depends on the rest of the document.
Check your knowledge configuration. Click + to make sure the right configuration is active before you start.
Comment first, then write. For a red team review, use Comment mode to get feedback. Then switch to Write mode to apply the fixes you agree with.
Review every tracked change. Accept what works and reject what doesn't.
Finish formatting in Word. The add-in handles light formatting like bullets, but it's built for content. Do final styling with Word's own tools.
Good to know: Comments and tracked changes rely on features built into Word. On older versions of Word, or Word on the web, some of these may behave differently. For the best experience, use an up-to-date desktop version of Word.
4. Prompts to try
Highlight the text you want the add-in to read/focus on, then try one of these:
Goal | Prompt |
Get alternate wording | "Suggest a few alternate ways to word this paragraph." |
Convert to bullets | "Convert this paragraph into concise bullet points." |
Cut wordiness | "Reduce the wordiness of this section without losing any of the key points." |
Simplify technical language | "Simplify this section so a lay audience can follow it." |
Run a red team review | "Run a red team review for this section and add brief, specific, critical feedback. I can ask for additional details if needed." |
Turn feedback into comments | "Apply the above as comments, highlighting the exact area that each item applies to." |
Check compliance | "Check this section against the attached compliance matrix and tell me if anything is missing." |
Add proof points | "Add relevant proof points from the attached file to strengthen this section." |
Fix a tricky sentence | "Something feels off with this sentence. How can I fix it?" If you get several options, reply with something like "Apply option three." |
Check clarity (Ask mode) | "What is the main point of this section, and is it clear?" |
Loop in a teammate | "Add a comment on this paragraph tagging a teammate and asking them to confirm the numbers." |
5. Move AI Chat content into Word
Already have good content in AI Chat? Use AI Draft to bring it into Word, then keep refining it with the add-in.
In AI Chat, click Send to Draft on the response you want.
Keep sending related content to the same draft.
Rename the draft from the session history panel.
Open the draft and click Export to .doc.
Open the file in Word and keep refining it with the add-in.
Good to know: AI Draft can't see the Sources Panel or your session history, so use it to move content into Word, then do your editing with the add-in. A renamed draft may not show its new name in the dropdown right away, but your content still lands in the right place.
For more on drafts, see The Basic Functions of AI Draft.
FAQ
Does the add-in cost extra?
No. It's included with your Awarded AI subscription.Does it work in both Word desktop and Word on the web?
Yes. It works in Word on the web, desktop Windows, and desktop Mac. For the best experience with comments and tracked changes, use an up-to-date desktop version of Word.I added the add-in, but I don't see it. What should I do?
Close Word completely and reopen it. If it's still missing, check Home > Add-ins > My Add-ins to make sure it's installed. Government users: your IT administrator may not have deployed it yet, or deployment may still be in progress. This can take a few hours.I'm getting a server 522 error. How do I fix it?
You may have an older or similarly named add-in installed alongside the correct one. Remove the other add-in, add the Procurement Sciences add-in again, and restart Word. Why does it only see part of my document?
The add-in works on what you highlight. To give it the whole picture, upload your full draft to your Awarded AI Datahub (My Files or Shared Files), then attach the draft in the Word add-in.
Can the add-in use my opportunity files?
Not yet. The add-in can use the same files and knowledge as AI Chat, but files attached to an opportunity aren't available in it yet.
Can it change my document without me knowing?
No. Every edit is a tracked change, and nothing changes until you accept it.
Is my data secure?
Yes. Requests go to your organization's Awarded AI environment, with the same security controls as the rest of the platform. The add-in only accesses the document you have open. It doesn't run AI models on your computer, and it doesn't store your document content on your device. Your chat history is stored in Awarded AI. Government customers are served from our FedRAMP Moderate environment. For details, see the security overview in The Procurement Sciences Add-in for Microsoft Word.
