Access Control for Opportunities

This keeps sensitive bid information, win strategies, and proposal content visible only to the team members who need it.

Written by Jade Monsen

Access Control for Opportunities lets you control who can see and edit each opportunity in your pipeline. Only the people you add to an Opportunity's Team can view or work on it. With the exception of Admins, everyone else in your organization will not see it.

How access works

Every opportunity has an Owner and a Team. Access is determined by membership on that Team.

Who always has access:

  • The Opportunity Owner

  • Admins and Super Admins in your organization

Who has access based on Team membership:

Anyone added to the Opportunity's Team tab will have access. There are different levels of access that can be granted.

  • Full access allows them to do anything within an Opportunity.

  • Editor Access allows them to do everything within an Opportunity except add/edit team members, change the Opportunity stage, and delete or archive an Opportunity.

Who does not have access:

Anyone in your organization who is not on the Team and is not an Admin

Note: If an opportunity has no Team members added, only Admins and the Owner will be able to see it.

Setting up your Opportunity Teams

Add a team member

  1. Open the opportunity.

  2. Go to the Team tab.

  3. Click + Add Member.

  4. Select the user from the dropdown.

  5. Select the Access the user should have (Editor or Full)

  6. Optionally assign a Team Role (such as Compliance Specialist or Editor). Team Roles are labels only and do not affect access or permissions.

  7. Click Add Member to save.

The user will now have access to this opportunity.

Remove a team member

  1. Open the opportunity.

  2. Go to the Team tab.

  3. Click the three-dot menu next to the person's name.

  4. Select Remove.

The user will immediately lose access to this opportunity.

Change the Opportunity Owner

The Owner has full control over the opportunity and its Team. Only Admins and Super Admins can reassign ownership.

  1. Open the opportunity.

  2. Go to the Team tab.

  3. Find the current Owner and click the three-dot menu next to their name.

  4. Select Reassign Owner and choose the new owner.

What to check before you get started

If you have existing opportunities, take a few minutes to review each Team tab before relying on access controls.

  • Add anyone who needs access. If a colleague should be able to see and work on an opportunity, make sure they are on the Team.

  • Remove anyone who should not. If someone has moved off a bid or should no longer have visibility, remove them from the Team.

  • Confirm the Owner is correct. The Owner has full control, including the ability to add and remove team members.

Admins can adjust access to any opportunity at any time, so there is no risk of permanently locking someone out.

Frequently asked questions

A colleague cannot see an opportunity. How do I fix it? Add them to the Opportunity's Team tab. If you are the Owner or an Admin, you can do this directly. If not, ask your Admin for help.

What happens if no one is on the Team? Only Admins, Super Admins, and the Opportunity Owner will see the opportunity. Regular users will not see it in their pipeline until they are added to the Team.

Can I still see the opportunity if I am removed from the Team? No. Once removed, you will no longer see the opportunity unless you are an Admin or Super Admin.

Do Team Roles like "Editor" or "Compliance Specialist" affect what I can do? No. Team Roles are optional labels and do not change your level of access. Being on the Team is what gives you access.

I am an Admin. Can I access opportunities I am not on the Team for? Yes. Admins and Super Admins can see and edit all opportunities in your organization, regardless of Team membership.
