AI tools
AI Chat
AI Chat is a conversational assistant for research, writing, analysis, and other everyday tasks.
Key features
Access: Open AI Chat from the main screen or the top left corner.
History: Return to a past chat or start a new one.
Prompting: Type a question or task into the message box to get a response.
Voice to text: Dictate prompts of up to 5 minutes instead of typing.
Settings: Adjust tone, format, and language. Personas now live in the Assistants Library.
File attachments: Attach your own documents and work with them in the chat.
Web search: AI Chat can search the web automatically when your question needs current information.
Deep Research: Open the Deep Research dropdown and pick a template for in-depth research, such as competitor vulnerabilities, customer pain points, incumbent strategy, or evaluator priorities.
Sharing: Share a chat thread with a teammate using a direct link.
Tips
Specific prompts produce better results.
Not sure where to start? Browse the Prompts Library.
Model Selector
The Model Selector lets you pick the AI model that best fits each task instead of using one model for everything.
Key features
Auto selection: By default, Awarded AI picks the recommended model for your task.
Multiple models: Choose from leading models from Google, Anthropic, OpenAI, and others. Each has different strengths, such as RFP analysis, creative writing, large-scale data processing, brainstorming, or complex multi-document review.
Deployment-based availability: The models you see depend on your deployment environment (FedRAMP, commercial cloud, or on-premises).
Guided selection: Use the cheat sheet to match your task to a recommended model.
Tips
Match the model to the task. For example, use a research-focused model for RFP analysis and a creative model for marketing content.
Always verify outputs for accuracy, whichever model you use.
Knowledge Base and Sources Panel
The Knowledge Base stores your company information, past performance, and team preferences so Awarded AI can use them in any session. Awarded AI does not retain information between chats, so the Knowledge Base saves you from re-entering company context each time. Content is organized into categories, with nodes for main topics and sub-nodes for supporting detail.
Key features
Core categories: Company Profile and Past Performances come pre-populated and power automated opportunity scoring. You can also create custom categories for boilerplate language, style guides, resumes, and other recurring content.
Sources Panel: On the AI Chat screen, this panel holds Sources, Opportunities, Notes, Tasks, and Files in one place. Use Sources to toggle specific categories and nodes on or off for the current session.
Configurations: Save a combination of toggles as a reusable configuration.
Default configuration: Choose a set of sources that loads automatically whenever you start a new session.
Tips
Set a default configuration so your essential company information is ready from the start.
Configurations are saved per user, so each team member should set up their own.
Prompts and Assistants Libraries
The Libraries are a central place to find, organize, and reuse saved prompts and assistants, so your team works from the same proven starting points.
Key features
Prompts: Save prompts you use often. You can also describe what you need in plain language and Awarded AI will generate and refine the prompt for you.
Assistants: Use saved assistants and personas set up for specific tasks.
Categories: Browse by business area, including Business Development, Proposal Writing, Capture, Marketing, Recruitment & HR, Delivery & PMO, Strategic Planning, and Opportunity & Risk.
Visibility: Resources are Private (only you), Shared (specific users or teams), or Global (your whole organization).
Search and filter: Find resources by keyword, category, or tag.
Tips
Use clear, descriptive names and tags so teammates can find your resources.
Only Admins and Super Admins can create or edit shared prompts and assistants. Ask yours if something you built should be shared.
AI Workflows
AI Workflows automate multi-step analysis tasks, so you can turn a solicitation or document into structured output in one run.
Key features
Prebuilt workflows: Options include the RFx/Grant Analyzer, Compliance Matrix Generator, Acronym Extractor, and Win Strategy Generator
File support: Attach files and folders, including Excel files, to a workflow step.
Tips
Run the RFx/Grant Analyzer or Compliance Matrix Generator as soon as a new solicitation drops to get organized quickly.
AI Draft
AI Draft is where you create, edit, and manage drafts built from your prompts.
Key features
Draft creation: Send any AI Chat response straight into a new draft.
Editing: Keep developing the draft on the drafting board.
History: Reopen saved drafts anytime from the AI Draft icon on the toolbar.
Tips
Generate a first pass in AI Chat, then move it to AI Draft to shape and polish it.
Save prompts you use often to keep your output consistent.
AI Review
AI Review gives you AI-driven feedback on documents before they go out the door.
Key features
Document analysis: Upload a document to get review and feedback.
Editing prompts: Use quick prompts to make a document more concise, more informative, or better suited to your audience.
Tips
Use AI Review to sharpen clarity and professionalism.
Match persona and tone settings to your intended reader.
Procurement Sciences Add-in for Microsoft Word
The Word Add-in brings Awarded AI into Microsoft Word as a side panel, so you can draft and edit proposals without copying content between apps.
Key features
Chat modes: Auto (default), Ask (read-only), Write (edits your document), and Comment (leaves comments).
Tracked changes: Every edit appears as a tracked change for you to accept or reject.
Knowledge and files: Draw on your Knowledge Base and attach solicitations or reference documents for context.
Prompts and models: Use your saved prompts and choose an AI model, just like in the platform.
Divisions: Switch between divisions if your account has more than one.
Tips
Commercial users can install it in Word under Home > Add-ins by searching "Procurement Sciences." Government cloud users need their IT administrator to deploy it through the Microsoft 365 Admin Center.
Opportunities and relationships
Bid Search
Bid Search helps you find and evaluate federal opportunities that match your criteria.
Key features
Keyword search: Search recent opportunities by keyword.
Filters: Narrow results by location, due date, posted date, agency, NAICS code, set-aside code, and notice type.
Saved searches: Save search criteria to rerun, update, or manage later.
Fit Scores: Each night, Awarded AI scores up to 25 opportunities from your Default Saved Search against your Company Profile and Past Performance. Scores run from 1 to 100: High Fit (80 to 100), Mid Fit (40 to 79), or Low Fit (1 to 39). Hover a score to see the breakdown across Technical Capability, Customer Relationship, Certification Requirements, Past Performance, and Strategic Alignment.
Tips
Use filters to focus on the most relevant opportunities.
Save searches you run often for quick access.
Fit Scores are based on the opportunity description and metadata only, not attached files. Keep your Company Profile and Past Performance current for the most accurate scores.
Pipeline
Pipeline tracks opportunities as they move through your business development process.
Key features
Swim lanes: View opportunities organized by stage.
Opportunity management: Create, edit, and move opportunities between lanes.
Opportunity workbench: Click an opportunity to manage its details, tasks, files, and team in one place.
Flags and tags: Mark status and category to stay organized.
Access control: Opportunities are visible only to team members added to them. Manage members and permission levels from the Team tab.
Export: Choose which fields to include when you export your pipeline.
Tips
Update opportunity status regularly so your pipeline stays accurate.
Use tags to group similar opportunities.
Reports
Reports gives you a visual view of your business development activity.
Key features
Opportunities by Stage: A funnel chart that shows how your pipeline is distributed across stages.
Tips
Keep opportunity stages current in Pipeline so your reports stay accurate.
Notifications
Notifications keep you informed when teammates take action on work that involves you.
Key features
Triggers: You are notified when an opportunity task is assigned to you, when a task you are involved with is completed, and when you are added to an opportunity team (or someone joins a team you own).
Delivery: Notifications arrive in your in-app inbox (the bell icon) and by email.
Preferences: Turn individual notification types or channels on or off from the bell icon.
Tips
Email notifications leave out sensitive details like opportunity names, so open the app for full context.
Contacts
Contacts keeps your professional network organized in one place.
Key features
Search and filter: Find contacts by tag or organization.
Import and export: Import contacts from a CSV file or export your list.
Manual add: Add a new contact anytime.
Tips
Keep contacts tagged and up to date so you can find people quickly.
Workspace administration
Datahub (Integrations)
Datahub connects external data sources and files to your Awarded AI workspace.
Key features
File upload: Upload files to use in chat sessions.
File viewer: Review uploaded files without leaving the platform.
Integration management: Set up and manage connections to external data sources.
SharePoint: Sync selected SharePoint files and folders into Awarded AI. New selections sync right away, and changes sync once a day.
Google Drive: Connect your Drive to reference files directly in chat without uploading them.
Tips
Keep your files and integrations centralized here, and check periodically that connections are still current.
Divisions
Divisions are separate, secure workspaces within a single Awarded AI environment. Everyone signs in through one company URL, but each division's data, chats, opportunities, and work stay fully separated.
Key features
Data separation: Files, pipelines, chats, assistants, and prompts never cross division boundaries, even when marked as shared.
Multiple memberships: You can belong to more than one division but work in only one at a time.
Setup: The Procurement Sciences team configures new divisions manually. Setup typically takes two to three business days.
Working in divisions
When you log in, you start in the default division. Use the selector in the top right corner to switch to your home division.
Confirm you're in the correct division before you start work, upload files, or create opportunities. Work created in one division stays there permanently.
Each division has its own Knowledge Base, files, opportunities, prompts, and assistants, plus its own Company Profile and Past Performance data. This affects how Fit Scores are calculated.
Opportunities are division-specific and private by default. To access one, you must be added as a team member with an assigned permission level.
Roles and Permissions
Awarded AI uses role-based permissions, managed in the Admin Panel, to control access to shared resources like prompts, assistants, knowledge, and SharePoint syncs.
Roles
Super Admin: Tenant-wide access. Manages the Admin Panel across all divisions, can promote users to Admin or Super Admin, and can create, edit, or delete shared prompts, assistants, knowledge categories, and SharePoint syncs.
Admin: Division-level access. Manages the Admin Panel for their own division, can promote users to Admin within that division, and manages shared content and integrations for that division only.
User: The most restricted role. Can create and manage private prompts, assistants, and SharePoint syncs, and can browse and use shared resources, but cannot create, edit, or delete shared content.
Tips
Not sure what you can change or share? Confirm your role with your Admin.
To make a private resource shared, ask your Admin or Super Admin.
